As a member of the Marketing & Communications department, this position is responsible for the following:

  • Ensures the smooth flow of administrative processes within the department;
  • Develops purchase orders and tracks projects to ensure payments are made on time and within budget;
  • Organizes and books departmental business travel;
  • Files expense reports;
  • Reviews and reconciles accounts;
  • Tracks and ensures a timely response to all inquiries from customers and the general public via incoming phone calls, letters, emails, and online customer surveys;
  • Assists departmental staff with the delivery of monthly retail image programs, special events, in-store signage, shelf cards and other related promotion materials;
  • Communicates with store managers and staff to ensure marketing objectives and timelines are understood;
  • Assembles and distributes media releases for various marketing and corporate initiatives;
  • Updates in-store audio playlists with appropriate music mix and keeps all in-store messaging/commercials up-to-date;
  • Gathers relevant product and promotion details from marketing and category staff to ensure timely delivery of information for use in various forms of social media;
  • Maintains accurate daily attendance records.

The successful candidate will possess the following qualifications:

  • Graduation from a two (2) year post-secondary diploma program in Office Administration;
  • Two (2) years’ experience in an administrative support role ideally with a marketing and communications department in a multi-site retail operation with a strong focus on customer relations;
  • Experience in administrative support for departmental functions including: co-ordination of special events, payroll, attendance, budget monitoring and financial duties;
  • Excellent written and oral communications skills as required for interaction with internal and external stakeholders;
  • Significant working knowledge of computer applications required to support retail operations including basic knowledge of graphic design applications, ability to operate standard office equipment, ability to maintain effective filing systems and proficiency in document formatting;
  • Excellent time management as required in a fast paced retail marketing environment;
  • Retail experience would be considered an asset.

Salary: CG 26: $40,458.60 - $44,790.20 annually
